Monthly Meetings
Short Tip: A monthly event of up to 1 hour to communicate the portfolio status to key stakeholders.
What is it?
It is a monthly meeting held by the Portfolio Manager, Program Leaders, Product Owners/Initiative Leaders and technical specialists for alignment on the organization’s portfolio.
Why use it?
The monthly meeting is an opportunity for high-level alignment about the organization’s portfolio. The purpose of the meeting is not to go into details about each product or program, but to encourage participants to identify points of risk or gaps between their own products and the corporate portfolio.
How to use it?
The meeting should last a maximum of 1 hour and be conducted by the Portfolio Manager.
The meeting is organized in four steps:
- The CEO updates the future vision and strategic goals;
- The Portfolio Manager communicates the major product changes (new products, product discontinuation) and the Portfolio Roadmap;
- The Portfolio Manager and UX manager provides Information on the general perception by the organization’s target audiences and on value generation;
- The Portfolio Manager provides Information on value metrics collected for key programs and products. Three key questions are asked:
- What value has been delivered?
- What value will be delivered?
- Are there any impediments?
The purpose of the meeting is not to discuss details of each program, but to communicate an overview of the organization’s direction on value. Participants should be encouraged to identify any divergences or opportunities for improvement within their programs and products.
Typically, Product Backlog refinement meetings occur after monthly portfolio meetings.
